This only applies to subledgers with a "%" calculation method. Modified the processing of reversals of writeoffs to correctly reverse any bad debt journals when "%" type subledgers were used. Previously it would journal interest income instead of bad debts. Version 6.19F 4 February 2003 ----------------------------- * Rebateable Subledgers. If a client has several accounts, you can specify that some of the accounts are higher priority than others. If the high priority accounts are in arrears, the system will prompt you to pay those accounts before you pay the lower priority accounts. To enable this feature, follow these steps: 1. Add an internal constant "PRIORITIZE" with a value of "Y". To do this, go into the Housekeeping menu, select option "S" (Security), press F4 (Internal Constants), type "CNST" [F10] "PRIORITIZE" [F10] "Y" [F10]. 2. Change the business codes of low priority accounts. There is a new field in the Business Code Maintenance Screen called "Priority". If you put a higher number in here, loans for the business code have a LOWER priority. So a priority 1 loan has a higher priority than a priority 9 account. A priority 0 loan has the highest priority of all. By default all loans have the highest priority. 3. If you enter a repayment for a low priority loan (in FM Transaction Entry), and a higher priority loan is in arrears, you will be prompted to pay the high priority loan first. The arrears balance is calculated as at the date of the transaction you try to enter. Version 6.16A 4 May 2001 Invoicing and Direct Debits --------------------------- The system will now continue to invoice and apply direct debits to any accounts that have an inertia business code, even though they are past their term. Version 6.15Z 24 April 2001 Subledgers ---------- A new "%" type subledger calculates values based on the Monthly Nominal interest charge on the account for the month. Version 6.15Y 20 April 2001 Direct Debits ------------- If you use replacement account numbers when importing direct debits, the system will now correctly process alphanumeric account numbers in the import file Journals -------- The system can now journal any changes to the Structure table. Version 6.15X 14 April 2001 Credit Card Interface --------------------- Modified to include a numeric customer account number in the "Merchant Reference" field of the credit card debit transaction. Version 6.15W 2 April 2001 Direct Debit Import ------------------- Modified direct debit import program to be able to import alphanumeric loan account numbers instead of just numeric account numbers. Monthly Debtor Listing ---------------------- Modified to take into account arrears adjustments Version 6.15V 19 March 2001 Record Locking -------------- If a record is locked, the system will automatically retry every 10 seconds and won't just wait for you to press F10 to retry. This is useful for jobs that take a long time to run, which may be temporarily delayed while someone updates a record in the system. Investment System - Withholding Tax ----------------------------------- If you manually close an account with an "X" transaction, the system will calculate withholding tax when generating a direct credit file, if the account is subject to withholding tax. Previously, the system didn't calculate withholding tax in the direct credit file for manual account closures. Credit Card Interface --------------------- The loan account number will be output in the "Merchant Reference" field of the credit card file when automatically debiting credit cards. Note that this will only work on transactions that have been entered after version 6.15R has been installed. Transaction Import ------------------ * While entering FM, GL or IV transactions, you can use the CF5 key to import transactions, and CF6 to export. When importing, the system will convert the transactions to a new batch number because the sending system may not have the same sequence of batch numbers as your machine. Version 6.15 Q 21 February 2001 Investment Management --------------------- * Fixed problem with interest calculations that did not post to the GL Interest Payable Account any interest accrued from the start of the month to the maturity date of a loan whose interest is only paid at maturity (Frequency = 999) Version 6.15P 14 February 2001 Finance Management ------------------ * Fixed report formatting problem when you press F4 to print a batch from within Transaction Entry. The date now displays correctly. Previosuly the last digit of the year was being truncated. Investment System ----------------- * If you enter an "X" transaction mid month, and re-invest the funds, and the account pays interest when due, the system will now include the interest component of the "X" transaction when paying interest to the investor. Previously the system would capitalize this amount of interest and not pay it when paying the other interest. Version 6.15O 2 February 2001 Investment System ----------------- * The system will remember whatever you type in the "Anniversary or Date Entered" field for the next time you run it. For example, if you change this field to "D", the next time you do the interest run, the default value for this field will be "D". If you want to enable two character Transaction Type fields, go into the housekeeping menu, selection option "S" (Security), press F4 (Internal Constants), type "CNST" [F10] "IVTYPEPICT" [F10] "!!" [F10]. * You can enter interest accrual adjustments against an account by entering an "I" type transaction. Finance Management - Form Letters --------------------------------- * When you select the form letters option ("B" on the correspondence menu), you can press F3 (Options) to specify if certain addresses should be excluded. Some people put "WANTED" in a customers address1 field if it is not known. If you specify it, the system will ignore any accounts with an address of "WANTED" when trying to print form letters. Direct Debits ------------- * There is a new option "E" to create direct debits for Subledger Debits only. Previously, you could only create direct debits for Payments Due, Interest Charges, or Interest+Debits. Version 6.15L 4 January 2001 Monthly Interest Run -------------------- * Currently you can do several interest runs at different times during the same month. This is useful for variable rate loans where the interest rate changes mid month. Previously, if a loan had monthly subledger charges, they would be charged during every interest run even though there may be several interest runs in the same month. The interest run has been modified so that if you run it mid-month it will ask you whether or not you want to charge the monthly fees. Normally you should answer "N" to this question. Version 6.15K 4 December 2000 Financial Statement ------------------- * Made arrears balance visible when displaying the statement on the screen for Monthly Nominal accounts that have GST on the residual. Arrears Summary Report ---------------------- * Fixed problem which didn't exclude loans starting after the asat date and didn't include completed loans starting on or before the asat date when backdating balances. Version 6.15H 25 November 2000 Arrears Summary Report ---------------------- * Added new fields to the FM888SF.DBF table in order to give a month by month breakdown of arrears. The existing fields SFARR1, SFARR2...SFARR7 contain the total arrears balance, depending on how old the arrears balance is. The new fields SFARB1, SFARB2, ...SFARB7 contain a month by month break down of the arrears balance. For example, if an account is three payments in arrears, with a total arrears balance of $300, SFARR3 would contain $300, but SFARB1..SFARB3 would contain $100 each. Version 6.15G 21 November 2000 Financial Statements -------------------- * Financial Statements will show the GST component of the residual if it is subject to GST. If you press SF7 to change the monthly repayment on a loan, and answer "Y" to specify the installment date as well, the system no longer clears out the repayment structure. Transaction Import ------------------ * Speed up the transaction import facility when importing from an ASCII delimited file, and show a progress indicator. Version 6.15D 7 November 2000 Special Charges --------------- * Special charges will not be deducted from a repayment automatically if it is within $2 of the fortnightly equivalent of the monthly repayment. For example, a monthly repayment of $260 equates to a fortnightly repayment of $120. If a loan has a monthly repayment of $260 and you enter a repayment of $118 to $122, no special charges will be deducted. This is how the system has always worked. If you don't want the system to behave like this, you should set the system constant NOFORTCHK to "Y" as follows: Housekeeping (9) / Security (S) / Int.Constants (F4) / "CNST" [F10] / "NOFORTCHK" [F10] / "Y" [F10] {F2]. Old arrears adjustments might not have any date on them, in which case the statement program will treat the adjustment as though it applied from the start of the loan. Version 6.14X 17 October 2000 Subledgers ---------- * Increased length of "Sequence Number" field to 4 digits to prevent "Data Width Error" when adding new subledgers GST - Invoices -------------- * Fix "Argument error *" error, which occurs when printing invoices. Importing from Electronic Banking --------------------------------- * Check digits will only be stripped from an account number if the original account number including the check digit doesn't already exist in the system. If account 12345 is imported, and you have check digits enabled, the system will accept the account number if "12345" is a valid account number in the system, otherwise it will strip the last digit and see if "1234" is a valid account number. Version 6.13Z 6 August 2000 Loan File Maintenance --------------------- * When you press Alt-F3 to override the direct debit repayment amount, you can now automatically calculate the correct weekly, fortnightly or monthly repayment amount. This is helpful when you need to calculate a weekly or fortnightly repayment which will exactly reduce the loan balance to zero over the term of the loan despite the face that interest will be charged at a different frequency (monthly) to the repayments (weekly or fortnightly). Structured Deals ---------------- * Fixed problems which caused system to forget subledgers when entering new structured deals. * Removed warning messages when altering structured repayments * Fixed problems which did not recalculate gross interest when entering new structured deals. The start depreciation rate will default to the installment date of the lease if the lease has not yet been through an interest run, otherwise it will default to todays date. Version 6.13S 13 July 2000 Invoices -------- If your ABN is blank, the words "TAX INVOICE" will not appear on the lease invoices. Monthly Interest Run -------------------- Fix new page formatting when one account has many assets Arrears Summary Report ---------------------- Fix report formatting problem with subtotals Creditors Ledger ---------------- When producing cheques, store the cheque number in the "Reference" field of GL Transactions in the bank account. Previously the system stored the invoice number of the invoice paid by the cheque. Version 6.13R 7 July 2000 Monthly Interest Run -------------------- Fixed "Alias does not exist - FMLTYP" error Version 6.13O 30 June 2000 GST --- Fixed problems with incorrect GST being charged on lease rentals during the transitional period. Please refer to the new GST instructions posted on our web page. Customer Statements ------------------- Fixed problem which caused transactions not to consolidate in some circumstances even though you requested consolidation of payments and interest charges Configurable Options -------------------- Contact us if you would like us to configre the following options in your system: * When a loan is held, prevent depreciation and rental accruals from being generated. * Modify customer statements to stipulate which transactions can be consolidated on the statement if they are posted on the same day. * When generating direct debits, prevent the system from generating a lesser amount if the repayment would cause the gross balance to become negative. Version 6.13L 29 June 2000 Direct Debit System ------------------- When you create direct debits, you can specify whether or not to prevent the system from generating a scheduled direct debit if there is a repayment variation on the account which has not yet come into effect. For example, if a payment is normally due on the 10th and you enter a variation to create fortnightly direct debits from the 24th onwards, and you do the direct debit run for the 10th, and you answer "Y" to the question that "Repayment Overrides Stop Previous Standard Repayments" then no direct debit would be processed for the 10th. Asset Payouts ------------- When you pay out a single asset from a multi-asset lease, the system will debit GL Account "P&L on Sale of Asset" with the amount of GST charged on the proceeds of the sale. GST --- Fixed problem which charged GST one month early on advance payment leases which made payments before the due date. Fixed problem which caused incorrect revaluation of both lease and asset residuals when moving from non-gst to gst-applicable period Version 6.13J 28 June 2000 Investment System Direct Credits -------------------------------- Fixed bug which caused system to not post the first interest payment of a batch of payments when using the direct credit system. Structured Deals ---------------- Modified quote system to ignore the effect of interim rentals when calculating yield rates on leases. Version 6.13I 27 June 2000 GST --- * You can now enter a new "U" type subledger which charges GST on the residual portion of a lease without affecting and rentals due. Rentals on some lease contracts may not be subject to GST, but the residual payment may be subject to GST. Version 6.13H 27 June 2000 GST --- * Fixed bug which calculated incorrect GST on residual values when doing the June 2000 interest run. * Fixed bug which charged the wrong gst rate on quarterly in advance loans when doing the June 2000 interest run. Tax-Based Rental Accruals ------------------------- * Fixed bug which generated wrong rental accrual during the first month for monthly in arrears loans that were structured. Business Codes -------------- You can now specify which subledgers get loaded when a loan is created in a particular business code. You can also specify a different set of sequence numbers for those business codes. Loan Quotes ----------- Entering subledgers in loan quotes will copy the sequence number from the subledger definition in the same way that it currently happens when you enter live loans. Version 6.13G 23 June 2000 Interest Adjustments -------------------- Fixed bug which caused an "Undefined Identifier" bug when applying interest adjustments to accounts using the Hi/Lo method of charging for late payments Business Codes / GST -------------------- There is a new facility to change the business codes of active loans. Go into Business Code Maintenance, enter the existing business code and select option "M". You will be able to move accounts from one business code to another based on whether or not they have certain subledgers. This means you could set up a new subledger for pre-1998 leases which are not subject to GST, and move all Leases to this business code if they don't have a GST subledger. This will enable you to report income from GST exempt sources. Version 6.13F 22 June 2000 Asset Disposal -------------- On a multi-asset lease, if you now dispose of an asset, the system will correctly calculate GST. GST --- Fixed bug which zeroed out the GST percentage when you edited an account in Loan File Maintenance using option "C". Structured Deals ---------------- If GST is payable on an account and you vary the repayment amount, you should enter the repayment inclusive of GST. Previously the system was expecting payments exclusive of GST when varying repayments on active deals. Tax Based Leasing ----------------- * The system will no longer generate a rental income accrual for held accounts. * If you press F3 in the Monthly Interest Run prompt you can specify whether or not the system should ignore Held accounts for the purposes of generating depreciation journals. * You can now specify whether or not to ignore held accounts when printing the depreciation schedule. User Passwords -------------- Press Alt-F7 from any menu to change your user password. Subledgers ---------- Fixed inaccuracy with "E" type subledgers when the subledger was not chargeable. Version 6.13E 21 June 2000 Tax based leasing ----------------- Fixed bug with accruals on arrears payment structured deals. Customer Statements ------------------- Fixed infinite loop which happened when printing a type "2" statement for paid out accounts with excessive arrears adjustments Investments ----------- * The system will always round withholding tax down to the nearest cent. * Fixed bug which caused too much interest to be paid in the first month of an investment. Version 6.13C 17 June 2000 Payouts ------- The GL Journal created as a result of the GST on a tax-based lease residual will be included in the amount used to debit "P&L ON SALE OF ASSET", rather than the debit account specified in the GST subledger. Direct Debits ------------- The balancing entry of a direct debit file now contains a lodgement reference. Tax-based leasing ----------------- Rental accruals for tax based leases will not apply until after the installment date of the lease, in the case where the settlement date is prior to the installment date. Subledgers ---------- Removed the "E" type subledger. Created a new "E" type subledger which calculates amounts based on a percentage of the net repayment amount. Version 6.13B 16 June 2000 Payouts ------- Fixed "Argument Error" message which occurs when doing payout quotes on tax-based structured leases. Fixed payout quote inaccuracies in tax-based structured leases. Version 6.13A 14 June 2000 Leases ------ You can now stipulate that the residual on an arrears-payment lease is due at the same time as the final rental. Structured Deals ---------------- Structured deals may now be set up for business codes that make payments one month in arrears Tax-based leases ---------------- * You can now stipulate that the system generate monthly rental accruals on structured deals where a rental may not be due every month. The system will look at the previous or next rental due when calculating the accrual based on whether or not the account makes payments in arrears or advance. * Fixed bug which caused the gross rental to be reversed out of rental income when paying out a lease. It now correctly reverses out the net rental Arrears profile --------------- The arrears profile can now handle loans that have been paid out and then had the payout reversed Version 6.13 9 June 2000 Tax-based leases ---------------- Fixed bug which caused system to generate interest journals and not generate depreciation or rental income journals on tax-based leases with a net-effective interest method. Interest Adjustments -------------------- You can now generate interest adjustments for periods prior to the last interest run. Prior to this, you could only generate adjustments as at the date of the last interest run. Version 6.12Z 8 June 2000 Interest Adjustments -------------------- Interest adjustments will now recalculate interest properly if the account has had interest rate variations during the period affected by the backdated payment Payout Quotes ------------- The low level routines used in printing payout statements will now exclude interest charges for the day of the payout quote. Version 6.12Y 5 June 2000 Subledgers ---------- New subledger type 'E' - creates journals based on a percentage of the deposit amount entered on the loan. Version 6.12X 4 June 2000 MAJOR ENHANCEMENTS ****************** Interest Calculations --------------------- There is a new "Hi Lo" ODI calculation method. Set the ODI Method of the business code to "H", and enter an interest margin in the ODI percentage. The system will add the interest margin to the standard interest rate for the loan, and charge the higher interest rate whenever the account is in arrears. This modification ignores the days of grace, but will charge the lower rate if the arrears balance is below the arrears threshold defined in the system constants. Lease Rentals ------------- Tax based business codes now have an "Accrue Rental Income" field. If you set this to "Y", the system won't post the full amount of the rental due as income (during the monthly interest run). Instead, it will work out what portion of the rental due applies to the current month, and only show this as income. GST --- Please see the latest addendum to the GST document on the web page for more details Interest Adjustments -------------------- There is a system constant "ADJUST INTEREST FOR BACKDATED PAYMENTS". If you set this to "Y", and post a transaction dated prior to the last interest run, the system generates interest adjustments on the account to allow for the change in balance. You can now tell the system to check the interest calculations on all accounts. If there is any discrepancy in the calculation, the system will generate an adjustment. Press SF9 while in transaction entry to generate the adjustments. NOTE. The adjustment will generate a zero value transaction on the account which will not appear on customer statements. You can tell the customer statement program to "Consolidate Monthly Fees, Interest and Payments", and ALSO "Consolidate Pmts, Fees and Reversals on the same day". Set both of these prompts to "Y" to consolidate any adjustments on the customer statements so that you only see one interest transaction at the end of the month. BUG FIXES ********* Interest Adjustments -------------------- Fixed bug which caused system to generate incorrect value interest adjustments. Subledgers ---------- Fixed bug which calculated the incorrect value for subledgers in a loan quote. This happened particularly if you had a structured deal and changed the value of a subledger after already entering the structure. The system now recalculates the subledger values whenever you leave the structure screen or whenever you change a subledger value on a new loan. Loan File Maintenance --------------------- Fixed problem which forced you to press F10 several times to update a loan with structured repayments. Interest Calculations ** IMPORTANT ** ------------------------------------- Version 6.11H introduced a bug which would sometimes calculate incorrect interest on Variable Rate or Net-Effective type loans. When calculating interest, the system was not including the value of a repayment until the day after the payment was made. This bug did not always occur, but we strongly suggest you check interest charges dated on or after 29/2/2000. IF YOU FIND INCORRECT TRANSACTIONS, THIS PROBLEM CAN BE EASILY RECITFIED AS FOLLOWS: 1. Update to the latest version. 2. In "Maintain System Constants B" set the "ADJUST INTEREST ON BACKDATED PAYMENTS" to "Y". 3. Go into FM Transaction entry, in a blank batch 4. Press SF9 to generate adjustments. 5. When prompted for a date, enter the date of the earliest interest run whose calculations you suspect. For example, if the first incorrect interest charges were found in MArch 2000, enter 31/3/2000. 6. Press F10. 7. Post the batch of zero-value debits. If the system finds any incorrect interest calculations it will generate an adjustment transaction. Version 6.12W 31 May 2000 Arrears Summary Report ---------------------- * You can now tell the report to adjust arrears on accounts when their anniversary day does not exist in the month, and you're running the report as at the end of the month. For example, if an account is due on the 31st, and the report is run for 30 April, the account will show as having a payment due on 30 April for the purposes of calculating arrears, provided you answer "Y" to the question "Fix short-month arrears". * You can now specify whether or not to exclude held accounts from the report. Previously, held accounts were always excluded * You can now specify which business codes to exlude from the report GL Statements ------------- If you press F3 to print a GL statement while in GL Master File Maintenance the system will automatically print the statement in condensed mode. Version 6.12T 29 May 2000 Structured Loans ---------------- When you change the repayment structure of an active structured deal, the system will not alter the interest rate or gross balance. Subledgers ---------- Fixed problem which charged GST a month early on new leases. Version 6.12R 25 May 2000 Direct Debits ------------- Fixed "Undefined Identifier I_KEYS" error when re-doing Direct Debit file. Process New Loans ----------------- Fixed problem which charged GST one month early on new loans. Subledgers ---------- Fixed problem which zeroed out subledgers when changing the structure on active loans. Version 6.12O 24 May 2000 Loan File Maintenance --------------------- * When you use option "O" to copy a loan, the system will now copy all associated assets. * When you enter a non-overridden subledger, the sequence number from the file will be used in the loan. * Low level routines which make it easier to specify if you want certain fields hidden on the loan maintenance screen for ease of entry * You can now change the field description of the "Birth" and "Country" fields Direct Debits ------------- * Fixed bug which caused system to forget that it had done a direct debit transaction on the first account in the batch. Version 6.12N 23 May 2000 Investment Management --------------------- * Fixed problem with "Regenerate IV Balances" which assigned a wrong value to "Last Interest Run Date". * Fixed problem with Investment Interest Run and Interest Payments Report which caused interest payments to be paid in the wrong month under some circumstances * Fixed inaccuracies when entering structured deals where GST was payable on the purchase price of the deal. Form Letters ------------ * Fixed problem which caused message "LETTER DOES NOT EXIST" when trying to print a form letter Version 6.12M 22 May 2000 Direct Debits & Credit Cards ---------------------------- You can now override the repayment amount on accounts to be weekly, in addition to the existing fortnightly and monthly repayments. Use the Alt-F3 to override the repayment level on a direct debit or credit card account Invoices -------- The ABN on invoices is now left justified to improve readability. Loan File Maintenance --------------------- * If you use both client numbers and account numbers, you may now press F9 from the prompt screen to specify which field should have the cursor in it when the program starts. * The SF5 (Financial Details) screen now shows the details of direct debit payments, and repayment overrides. Financial Statements -------------------- * You can now use option "P" (Payments Only) on non-monthly-nominal type accounts. Version 6.12K 22 May 2000 Interest Rate Variations ------------------------ Previously there was some confusion about the date from which an interest rate variation would apply. The "Business Code Maintenance" program now prompts you for a date after which to change the interest rate, and a date after which to change the repayment amount of a loan. This way you can specify WHEN the interest rate is going to change, and WHEN the new repayment amount will apply. Version 6.12J 19 May 2000 Loan File Maintenance --------------------- Fixed problem which blanked out the batch number of an active loan when copying quotes over existing loans. Structured Loans ---------------- * When you enter structured loans you can enter them directly via Loan File Maintenance rather than entering a quote first. This version fixes a bug in Loan File Maintenance which caused the system to ignore the value of In-Full Chargeable Subledgers on a new loan that you tried to enter as strucutured. If you entered the loan using Loan Quote Maintenance you got a different repayment amount compared to if you entered the loan in Loan File Maintenance. This problem is now fixed and it's ok to enter new structured loans directly into Loan File Maintenance. Version 6.12H 18 May 2000 Investment Ledger ----------------- * You can now generate direct credits and direct debits to client bank accounts using the Investment Ledger. Specify the client bank account details in Investment File Maintenance. Generate the output file by pressing F3=EFT while in Investment Transaction Entry. This option will automatically start after an Investment Interest Run if there are any interest payments to pay investors Invoice Printing ---------------- * The "ABN" is entered via "Maintain Address Details" on the housekeeping menu. The ABN now appears on invoices if it is specified. * You can specify whether or not to invoice clients with "Auto Pay" set to "Y", "N" or both. This enables you to invoice clients that are on direct debits. Version 6.12G 17 May 2000 GST Calculations ---------------- * Fixed problems with interim rentals affecting the amount of GST payable on accounts. Version 6.12F 17 May 2000 GST Calculations ---------------- * Fixed problem which was incorrectly calculating GST on repayments due in some circumstances. Version 6.12D 15 May 2000 GST Calculations ---------------- * When you add GST to an existing lease, the system now correctly updates the residual value of individual asset components of the lease. Previously the system updated the residual value of the lease, but did not update the residual value of individual asset components. Inertia ------- * When a lease goes into inertia, the system will extend the structure by the smallest possible number of months. For monthly structure elements, this will be one month at a time. For quartlerly deals, this will be 3 months at a time. Security -------- * Fixed bug in which the system ignored the security settings (if present) and displayed the Investment Management menu option even if it was turned off in the Security system Version 6.12C 14 May 2000 GST Calculations ---------------- New improved GST functionality. Please see GST document on web page for details Version 6.12B 12 May 2000 Payout Quotes ------------- Fixed inaccuracy in interest calculation when working out a payout quote. Financial Statement ------------------- The "Unchgd" (Uncharged interest) amount that appeared at the bottom of the statement was including the last day of the statement which did not agree with payout quotes. Interest is only charged up to the day prior to the last day of the statement in order to comply with the consumer credit code. Version 6.12A 10 May 2000 FM Transaction Entry ----------------- * The system allows you to press F4 to print a batch even if there's errors in that batch. Direct Debits / Credit Cards ---------------------------- * The system no longer generates zero value direct debits or credit card transactions. Version 6.12 8 May 2000 Transaction Entry ----------------- * There is a new option in "Maintain System Constants - B" which enables you to decide whether or not you want to prompt the user for ODI if there's any outstanding. By default, if the user enters a non-standard repayment and there is outstanding ODI, the system will ask if you want to pay it. Answer "N" to the prompt "Get ODI from non std rpmts". Importing Transactions from Deskbank ------------------------------------ * The system now recognises BPAY transactions and will remove the trailing check digit before posting as a repayment transaction. Version 6.11Z 7 May 2000 Customer Statements ------------------- * New option to consolidate any payments or reversals entered on the same day. If a payment and reversal are entered on the same day, no transaction will show at all. Previously, consolidation of payments and reversals only occurred if transactions were entered in the same batch. Address Details --------------- Increased length of address information so that address details in the statement header can be manipulated better. Version 6.11Y 3 May 2000 Loan File Maintenance --------------------- * Streamlined the entry of structured loans. * When browsing assets, the serial number is displayed in the asset list * When adding/disposing assets, the asset number is shown in the transaction narrative * If you enter a strucutred loan with one up front payment, and the remainder of the repayments as zero, the system will force the interest rate to zero. Version 6.11X 2 May 2000 Invoicing --------- You can now print simple invoices for accounts that have auto-pay set to "N", even if the account doesn't have any assets defined. All invoices printed store a record of the invoice in the FMINVC.DBF file which you can use in your word processor mailmerge facility to create more flexible looking invoices. Transaction Entry ----------------- The customer name now apprears on the batch listing report next to the account number. Version 6.11W 25 April 2000 Transaction Entry ----------------- You can now enter "FLAT CANCEL" transactions against tax-based accounts. A flat cancel transaction occurs if a payout is entered against an account that is less that 30 days old with no other repayments entered on it. Flat cancelled accounts reverse all transactions that occurred when the loan was first activated. Fixed problem with flat cancellations which would generate incorrect GL journals in some situations. Loan File Maintenance --------------------- Fixed "Argument Error $" message that occured when you press F7 while in a numeric field. Investment System ----------------- You can enter "Notes" on an investment account which will appear on the interest payment report. One use for these notes is for interest payment instructions. You can sort the Interest Payments Report by "D" Date of payment. Version 6.11V 24 April 2000 Loan File Maintenance --------------------- If you press PgDn to add a new debtor, the system will enter the address details from the previous debtor by default to save you having to re-enter them Customer Statements ------------------- New statement options: * Print multiple statements for a/cs with multiple debtors? The system will print extra statements for the same account if there is more than one person associated with the account. You associate extra people with an account by pressing PgDn while in Loan File Maintenance * Show Account Number in Header? Answer "N" to this question if you don't want the account number to appear in the statement header. This is useful if you have set up your own statement header message which already contains the account number Version 6.11U 19 April 2000 GST --- Fixed bug on lease rentals with GST that caused wrong journals to be generated at month end. Subledgers ---------- Fixed minor problem with the calculation order of some chargeable subledgers Version 6.11S 17 April 2000 Loan Listing Summary -------------------- There is a new prompt "Include ODI in balances". If you answer "Y" to this question, the net and gross balance on the report will include any ODI transactions. This will make the report agree with the balance on a customer statement for which you say "ODI Affects Balances" = "Y". Tax-Based Leasing ----------------- If a loan starts with no rental due in the first month, and a rental due in the second month (for example you set the installment date to one month after the settlement date), the system would not update the GL rental income amount for month 2. This bug has been fixed. Version 6.11R 13 April 2000 Business Codes -------------- You can now specify default subledgers for a business code. Go into 'Business Code Maintenance' and press F9. The system allows you to enter Subledgers against a business code. When any new loan is created for this business code, the default subledgers will be loaded automatically Subledgers ---------- If you change the parameters for a subledger, the system now prompts you if you want to change the subledger value for entries that have been overridden. Previously, it would only change values on subledger entries that had not been overridden. If a subledger is overridden, the only field that will be updated by this process is the 'Amount' field. Version 6.11Q 12 April 2000 Business Codes -------------- * You can now specify an "Inertia Business Code". You can specify that a business code has "inertia repayments" which means the term of the loan gets automatically extended by one month if the loan remains active past its due to complete date. If you also specify an "Inertia Business Code", the system will automatically change the business code of the loan when it goes into inertia. Subledgers --------- * If you specify a rounding amount of ZERO, fractions of cents in the subledger calculation will be TRUNCATED instead of rounded. This is useful in GST calculations when you don't want to round up. Alpha Search ------------ * Fixed bug which caused a crash if you searched for a value with an apostrophe in it, and pressed F7 a second time. * In all Finance Management programs, if you do an Alpha Search, the cursor will return to the field it was in when you pressed F7. Posting Transactions -------------------- * Fixed "Lock Required" error message which appeared in some circumstances. Version 6.11P 06 April 2000 --------------------------- Fixed bug which caused subledgers to be calculated in the wrong order when they were type "D", "R" or "M". If you had more than one monthly subledger on an account that was based on a percentage of a repayment, the subledger was calculated in the wrong order. Fixed bug which caused non-chargeable subledgers based on a percentage of repayments to be calculated incorrectly. Fixed "Lock required" bug which sometimes popped up when posting payment transactions. Version 6.11O 04 April 2000 --------------------------- Fixed "Variable Does Not Exist I_CODE" error when printing the FNPF audit report. Version 6.11N 03 April 2000 Direct Debits & Credit Cards ---------------------------- You can create a direct debit or credit card file on the fly without having to use "Periodic Debit / Payment". Just press SF4 while in transaction entry. The way direct debits and credit cards works has changed. Previously the system would record that an account had direct debits processed up to a specific date when it was selected by the direct debit program. If you then deleted the transaction via transaction entry, then pressed SF4 to "RE DO PD/C FILE", the system would still record the date against the account, even though no transaction was posted. Now, the system only records the date against the account when the transaction is posted. Version 6.11M 28 March 2000 Loan File Maintenance --------------------- You can now alter subledger details on active loans for non-chargeable subledgers Version 6.11L 26 March 2000 Loan Quotes ----------- Quotes will now allow both a residual and a deposit. Version 6.11K 19 March 2000 Loan Quotes ----------- Modified to be able to accommodate GST-Style subledgers Credit Card Processing ---------------------- Modified to report on expired cards, and to store DINERS and AMEX cards in a separate batch for manual processing because the standard banking interface file is only designed for Visa / Mastercard / Bank Card Version 6.11I 12 March 2000 Subledgers ---------- You can now specify a "Related Subledger" which will automatically get added to a loan whenever you add the subledger. If subledger "A" has related subledger "B", then whenever you add "A" to a loan, "B" gets added automatically. Loan File Maintenance --------------------- Fixed a bug which was inflating the loan repayment amount by the amount of a non-chargeable subledger. Customer Statements ------------------- You can now control the description which is printed on the statement for the opening balance and the initial deposit. Direct Debits ------------- When you create a file of PD/C's or credit card transactions, you can select which user id, bank account & bsb to be used. GST Modifications for Leases ---------------------------- Please refer to the document http://ibsfinance.com/gst.doc for instructions about how to use the GST facility in IBS. This dicument will be available after 26 March 2000. 1. You can now create a GST-style subledger which will charge GST on repayments, residuals, and payout quotes. You should set the "GST Charge?" field in a subledger to "Y". 2. You can now vary the rate of a GST subledger on existing leases. When you change the rate, any leases with this subledger will have their repayments varied as at a particular date. For example, you can create leases with a zero percent GST subledger, and change the rate to 10% after 30/6/2000. Any repayments due prior to this date will not include 10% GST. Any payments due after this date will include GST. 3. You can now add a zero value GST subledger to pre-existing leases. This allows you to mark pre-existing leases as ready for GST. When the GST becomes payable, you can vary the rate from zero to 10% as described in paragraph 2. 4. If you use IBS to print invoices, the "Total" line on the invoice will show the GST component (if any). 5. You can now enter an "ABN" in "Maintain Address Details". Credit Card Transactions ------------------------ You can now use IBS Finance to process credit card transactions in the same way that it currently creates direct debit (PD/C) instructions. In the "Periodic Debit/Payment" option, you can elect to create a file of Credit Card debits, which can be sent to the bank for processing. Creditor Standing Journals -------------------------- You can create standing journals in the creditors system to generate transactions based on the invoices selected for payment. Standing journals previously required that you specified a "From" creditor and a "To" creditor. You can now leave the "From" and/or "To " creditor blank which means the standing journal will apply to all invoices selected for payment. The standing journal header has a Minimum and Maximum invoice count, and Minimum and Maximum invoice totals. All creditors whose invoice count (or invoice totals) fall within this range will be processed. The standing journal header has a "Classification Code". All creditors who have this classification code, and have invoices selected for payment will be processed. The purpose of these changes to the creditor system is to allow a more flexible way of paying commissions and commission bonuses based on creditor invoices that are generated by subledgers from loan contracts. Version 6.11H 25 February 2000 Variable Rate Loans ------------------- Fixed bug which caused incorrect interest calculations on variable rate loans which had interest rate variations mid month. NOTE. In order to vary interest mid month, you do an interest run up to the date before the variation date. You then change the rate on the loans to be varied. Finally, you do the interest run as normal at the end of the month. Monthly Interest Run -------------------- The Monthly Interest Run now has a prompt for "Business Code" so that you can restrict the interest run to those variable rate loans that are part of one business code without affecting loans in other business codes. Structured Loans ---------------- When you use the SF9 key in "Loan File Maintenance" to change a loan from Standard to Structured, the system automatically changes the interest method from Monthly Nominal to Net-Effective. This makes sense on active loans because it is otherwise impossible to predict what the interest charges should be. For non-active (new loans) the system has been modified to NOT do this because new loans do not yet have any interest charged on them and it IS possible to predict interest charges. Version 6.11G 24 February 2000 Customer Statements ------------------- Improved formatting when outputting statement data to a file. Previously, some lines in the file just had Carriage Return characters in them with no following line feeds. This has been changed so that Carriage Return characters are always followed by Line Feed characters. This reduces the size of the output file and makes the file more useable by printing bueaux such as Australia Post Version 6.11F 22 February 2000 Structured Loans ---------------- IMPORTANT MODIFICATION. You can now enter a structured loan without having to enter a quote first. You just press the Shift-F9 button while entering a new loan. There is now a DUP key (F4) which can be useful when you enter a large number of assets to the same loan. When you create a new cost centre for an asset, the system puts helpful defaults into the cost centre based on the name and address of the client. Investment Management --------------------- When you press F9 the system will allow you to change both the Maturity Date and the Date the first interest payment is due. The Date the first interest payment is due must not be after the maturity date. (Previously it had to be before the maturity date). Transaction Entry ----------------- When you press F4 to print the contents of a batch, the report will now show whether or not the repayment is subject to any optional subledger charges. Version 6.11E 4 February 2000 Variable Rate Loans ------------------- You can now enter repayment variations for past dates. Version 6.11D 31 January 2000 Variable Rate Loans ------------------- Fixed bug which caused rate variations to not work if you elected to not change the repayment amounts. Fixed bug which forced you to answer "N" to each account when you already specified that you don't want to change the repayment amounts for the loans. Customer Statements ------------------- If you answer 'Y' to 'Include Completed Accounts' the statement for a completed account will only print if it has transactions within the date range of the statement. Version 6.11B 7 January 2000 Customer Statements ------------------- New faciltiy to print customer statements to a text file with control characters at the top of each page which can be used by a printing bureau such as Australia Post. Version 6.11A 4 January 2000 Direct Debits ------------- Fixed bug which ignored direct debit over-rides when an account was in its first month. Version 6.11 24 December 1999 Rebateable Subledgers --------------------- Fixed bug which caused flat cancelled rebateable subledgers such as CCI to post incorrect journals to the Creditors Ledger when you tried to rebate the full amount of the subledger rather than just a portion of it. Fixed "Undefined Identifier" message when you press F2 to cancel out of rebating a subledger. Version 6.10Z 15 December 1999 Rebateable Subledgers --------------------- Fixed bug which caused flat cancelled rebateable subledgers such as CCI to post incorrect journals to the GL Diary Reminders --------------- Introduced more stringent date validation in the diary reminder screen to prevent unreasonable dates being entered. Version 6.10Y 10 December 1999 Pack and Reindex ---------------- If you use the /X[company] command line parameter to automatically pack and reindex company data, the system will no longer check to ensure a printer is available before starting up. Type IBSF6 /X*ALL from the command line to tell IBS to pack and reindex all companies. The printer doesn't need to be available for this command to execute. Normally, IBS makes sure a printer is available before it starts. Version 6.10X 9 December 1999 UK Direct Debits ---------------- Fixed problem with UK Direct Debits which truncated the bank account number. Version 6.10W 6 December 1999 Arrears Processing ------------------ If an account is past its due to complete date, and it has a residual due, the net balance of the loan will be used as the arrears balance only once the residual is due to be paid (one month after the date the last standard repayment was due). Version 6.10V 3 December 1999 Direct Debits ------------- Fixed bug which caused direct debits to be processed one month early on new loans that make payments one month in arrears. Rebateable Subledgers --------------------- Fixed bug which caused flat cancellation of rebateable subledgers to generate a debit instead of a credit against the loan. Version 6.10U 1 December 1999 System Functions ---------------- Very occasionally the system would report General Protection Faults, or DBFNTX 1010 / Read Error. These errors may be caused when there is not enough memory allocated for the system stack. We have modified the system to force more memory to be allocated to the stack to prevent these errors happening in future. Rebateable Subledgers --------------------- Fixed bug which caused flat cancellation of rebateable subledgers to debit instead of credit the loan account. Version 6.10T 25 November 1999 Form Letters ------------ You can add a new keyword which will list all borrowers of a loan, when you use PgDn in Loan File Maintenance to "Add New Debtors". Create a new keyword "BORROWERS" with the following description: AllNames874(FMMAST->FMACNO) This will create a list of all borrowers for a loan, separated by a semicolon. Version 6.10S 18 November 1999 Loan File Maintenance --------------------- * Removed password protection from Alt-F3 screen Customer Statements ------------------- * Minor changes to layout of type '2' statements * Made password protection use the same password as other password protected items in the system Version 6.10R 17 November 1999 Investment System ----------------- * Fix layout problems with Detailed Trial Balance report. Loan File Maintenance --------------------- * When changing a loan, you can press ALT-F3 to override the repayments that are deducted from the account via PD/C or Direct Debit transactions. - This screen is now password protected. - This screen has been modified to make it clearer whether or not a repayment variation is in effect for the loan. - The PD/C program has been modified to not produce a totalling line when generating data for UK banks. Loan File Maintenance --------------------- * While editing a loan, you can press PgDn to add extra borrowers for the loan. Fixed bug which caused the details of one borrower to be copied into a different loan. Version 6.10Q 14 November 1999 Investment System ----------------- * New report "Detailed Trial Balance" lists all transactions on all accounts for a range of dates, with as many accounts as possible per page. Customer Statements ------------------- * On "Net", "Gross" and "Letter2" formats, if a loan starts within the statement period, the opening balance as at the statement start date is shown as zero, with a "Initial Loan Draw" transaction on the date of the loan, rather than just showing a "Statement Opening Balance" as at the start date of the loan. * Rather than just show the account number at the top of the "Net" statement, it now prints "Account " and the account number. Version 6.10P 11 November 1999 Interest Charges ---------------- * IMPORTANT MODIFICATION - INTEREST ADJUSTMENTS If a loan has a Net-Effective or Variable Rate business code, and you enter a repayment against the loan dated prior to the last interest run the system will calculate interest adjustments for the account. These adjustments will apply for every interest charge that has been applied to the account since the backdated repayment was entered. If, for example, you enter a repayment dated January, and the last interest run was in April, the system will calculate adjustments for January, February, Marh and April. The interest adjustments compound, so an adjustment in one month will affect adjustments in subsequent months. These adjustments will be generated if you enter a 'P' (Payment), 'Z' (Reversal), 'D' (Debit) or 'C' (Credit) transaction. They don't apply to other transactions. This option is normally turned OFF. To turn it ON, go into MAINTAIN SYSTEM CONSTANTS B, and enter 'Y' in the prompt "Adjust interest on backdated pmnts?". If you don't turn the option ON, the system won't generate interest adjustments. Version 6.10O 3 November 1999 Maturity Analysis, Loan File Maintenance ---------------------------------------- * Fixed problem which would occur if the anniversary day of the month was on day 31, and the loan ran for six months, and the month in which it matures only has 28-30 days, the system would make the maturity date sometime early in the next month. Now it converts the date to the end of the month in which the maturity date is due. For example, a 6 month loan starting 31/8 would mature 28/2 in the following year, but the bug was causing it to appear to mature 3/3 in the following year. Version 6.10N 2 November 1999 Monthly Interest Run -------------------- * Displays a counter on the screen while it's running to give you an indication of the progress of the job. Pack and Reindex ---------------- * Minor modifications to the low level routines to improve the reliability of the option for large files. Version 6.10M 1 November 1999 System Login ------------ * If a user logs in after being disconnected abnormally (due to power failure or run-time error), the system now offers the option for the user to reconnect. Previously the system administrator had to reset the "Status" flag for the user. Version 6.10L 27 October 1999 Loan File Maintenance --------------------- * Fixed bug which showed incorrect special charges outstanding for accounts which had been debited a special charge but which had not paid anything. Version 6.10K 26 October 1999 Principal / Interest Reduction Report ------------------------------------- If you leave "Account Number Blank" and press ENTER, the system will prompt you for a FROM and TO date and will produce a summary report for all active non-held accounts. Version 6.10I 21 October 1999 Loan File Maintenance --------------------- * Fixed bug which showed incorrect Net and Gross Balance on Shift-F5 financial details screen. * Fixed "Variable does not existr FMDTCP" error. Loan Summary Report ------------------- * Fixed bug which shows incorrect arrears balance for the first record on the report if you answer "Y" to "Backdate Balances" * Fixed "Variable Does Not Exist I_BALN" error. Form Letters ------------ * Fixed ZERO DIVIDE error for accounts that are past their completion date, are structured and have arrears adjustments. The error would occur if you tried to display the NEXT-DUE keyword in a form letter. * Fixed the "Variable Does Not Exist I_BALN" error. * Fixed the "Variable Does Not Exist FMBAL" error. Version 6.10E 19 October 1999 More metaframe performance enhancements. Customer Statements ------------------- If an account is past its completion date, and the payout method is "D" or "M", the arrears amount is forced to be equal to the net balance. The same applies to the "Amount Due" balance on the statement. Version 6.10C 17 October 1999 Windows NT and Metaframe Performance Boost. ------------------------------------------- * Low level routines updated so that IBS will use the CPU more efficiently when awaiting keyboard input. Previously, when IBS was running on NT, other processes would not get a chance to run because IBS was using up all of the CPU. This made Metaframe unuseable. Version 6.10B 13 October 1999 UK Banking Interface -------------------- * When generating Direct Debits (PD/C's) or importing from the electronic bank statement, you can now enter "UK" as the file format to generate data which is useable by the UK Banking system via the BACSTEL and BMDD products available from Barklays Bank. Loan File Maintenance --------------------- * Enhancements to the Shift-F5 (Financial Details) screen to show both paid and outstanding special charges. Enhancements for MetaFrame & NT Terminal Server ----------------------------------------------- * The IBS Workstation Name is used to name work files etc. It has to be unique for each person using the system. It is usually taken from the Workstation Name that you enter in the Networking Properties of Win9x or NT. If you use NT Terminal Server, every user will have the same workstation name which causes problems for IBS. To get around this, you can get IBS to automatically allocate a workstation name to a user when they log in. You have to have IBS security enabled. When they login, the IBS workstation name is set to the IBS User Name that the user enters to login. To enable Automatic Workstation Name Allocation, go into the SECURITY option on the housekeeping menu, and press F3. Make sure you have defined user logins for IBS, otherwise you may get unpredictable errors. When this is enabled, IBS won't allow two simultaneous logins with the same user id. Each user will have to have a unique user id. Version 6.10A 6 October 1999 General Ledger -------------- Improved reconciliation interface. Loan File Maintenance --------------------- Improved details on the SF5 - Financial Details screen. Version 6.10 1 October 1999 Loan File Maintenance --------------------- The Shift-F5 (Financial Details Screen) now shows a summary of arrears adjustments and special charge payments. Arrears Processing ------------------ If an account is past its completion date, and the payout method is "D" or "M", the arrears amount is forced to be equal to the net balance. Version 6.09Z 29 September 1999 Loan File Maintenance --------------------- Option "F" (Finalize Accounts) will now prompt for a password before finalizing a completed account. To set up the password you need to press F9 in Business Code Maintenance. Finalizing completed accounts attempts to save space by deleting all transactions for the account but keeping the credit history. Investment Management --------------------- Investment File Maintenance and Transaction entry will now allow you to set a new maturity date for an investment date which is prior to the existing one, so long as it is after the last interest run date. Version 6.09Y 17 September 1999 Form Letters ------------ Fixed form letter keyword which (in some circumstances) incorrectly reported the amount of a refund for an overpaid account. Version 6.09X 14 September 1999 Reinvesting funds ----------------- * When you enter an "X" transaction to reinvest a maturing investment, a bug occurred which caused the interest paid to double up. Version 6.09W 9 September 1999 Invoicing --------- * Record invoice numbers of any invoices created in the SF3 - General Details screen. Version 6.09V 8 September 1999 Subledgers ---------- * Fixed problem with calculating transaction dates when you try to create periodic subledger debits on accounts that don't have an insurance renewal date set. Version 6.09T 31 August 1999 Investment Management --------------------- * If you send the output of the interest run to the screen, you don't need to press ENTER after each page to advance to the next page. Version 6.09S 27 August 1999 Printer handling ---------------- * Version 6.09Q Created additional printer driver files which may cause print formatting to fail. This bug has been fixed. Any spurious printer driver files will be fixed. Version 6.09R 26 August 1999 Transaction Import ------------------ * Fixed bug with validation of account numbers / cross-reference numbers when importing ASCII delimited transaction files. Version 6.09O 5 August 1999 Investment System ----------------- * Fixed bug introduced in V6.09G which did not accure interest at the end of the first month that an investment started. Version 6.09N 4 August 1999 Invoice Printing ---------------- * You can now specify the date you want to appear at the top of an invoice, rather than the invoice due date. Investment System ----------------- * Fixed bug which caused error message when posting Investment "X" transactions: Error Base 1003 Variable does not exist I_OUTINTE115. Transaction Import ------------------ * The transaction import program now allows you to double check the account number of the loan transaction being imported, by comparing it against "Loan Field 2". * The transaction import program will check if there is a sequence number in the first field of the first record of the import file. If used, the sequence number must be greater than the last valid sequence number processed. Periodic Debits --------------- * This program allows you to charge periodic subledgers at any time you choose. There is a selection prompt which allows you to exclude accounts with a balance less than a certain amount, or a non-loan balance less than a certain amount. There was a bug which compared the "Loan Amount" or "Drawn" value rather than the non-loan balance. This bug has been fixed. Login Program ------------- * Minor modifications to use less processor time while wating for someone to login. This has implications when using thin-client technology such as Citrix, Winframe, Metaframe, or NTrigue which might have many different instances of the IBS program executing for each user. This modification won't make any difference if you connect via a standard local area network using Novell, Windows NT, or Windows 9x. Version 6.09M 29 July 1999 Transaction Audit Report ------------------------ * Fixed error message "Undefined Function PODEBIT" which occurred when trying to print the transaction audit report sorted by customer. Version 6.09K 26 July 1999 Form Letters ------------ * You can create a new form letter keyword to show the first non-zero repayment amount due on a structured loan. Create a keyword called REPAYMENT2 with the description of "REPAY874()". Subledgers ---------- * You can now enter a FREQUENCY on a subledger. This only applies to PERIODIC subledgers where the Method is set to "P". When you set the frequency, the subledger will be charged to a loan that has that subledger, but only as often as the frequency occurs. This way you can set a subledger to be charged quarterly, annually, etc. Set the frequency to 0 or 1 (default) to charge the subledger whenever it the periodic subledger program is run. Set it to higher values to charge the subledger less frequently. The frequency is measured against the INSURANCE RENEWAL date of the loan. A frequency of N months will cause the subledger to be charged on the insurance renewal date, and then every N months after that date on the anniversary date of the insurance renewal date. Version 6.09J 23 July 1999 Customer Statements ------------------- * Fixed problems printing statement with "Letterhead Stationery" set to "P" for Mortgages having a value in the "Bldg/Improv" or "Insured" fields. This wasn't working in previous versions. Version 6.09I 22 July 1999 Customer Statements ------------------- * Fixed problems printing statement address which caused some lines to be printed further down the page that was necessary. This applied to statements printed with "Letterhead stationery" set to "P", and also for statements on Mortgages that had a value in the "Bldg/Improv" or "Insured" fields. Version 6.09H 19 July 1999 Customer Statements ------------------- * "REBATE" Transactions will only appear on statements that show the Gross Balance. * "Cyclone Upgrading" message has been removed because it can be accommodated in the "Footer Message". Maturity Analysis ----------------- * Fixed bug which excluded loans making payments in Advance from reports which selected maturing accounts for a range of dates within the same month. Version 6.09F 14 July 1999 Diary Reminders --------------- * Improved performance of system when updating diary reminders. When there were a large number of loans in the system, it could take a long time to save any changes to a diary reminder. This has been fixed. Transaction Audit Report ------------------------ * When printing transactions by batch number or transaction date, records will be sorted within the batch number or transaction date by account number. Version 6.09E 13 July 1999 Customer Statements ------------------- * Fixed bug which caused Special Charge Payments and ODO Payments to affect the balance on a customer statement even though the "ODI Affects Balances" prompt was set to "N". Loan File Maintenance --------------------- * You can now copy quotes over existing loans. This is a password protected option which should only be used in special circumstances. It is helpful when you have set up a structured loan, and then discover that you still want to make changes to the repayment structure, loan details etc. It saves you having to flat cancel the loan and re-enter it. Version 6.09 30 June 1999 Form letters ------------ * You can now print form letters for completed accounts that have overpaid from a command line entry or icon. The now format allows you to specify whether or not to update the contact history of the loan with the details of the form letter. IBSF6 /RFM873//

Version 6.08U 22 June 1999 Loan File Maintenance --------------------- * Cancellation of rebateable subledgers now works properly when you press F9 in change mode on a loan that has subledgers with a rebate method of "R" or "O". * If you press SF9 to change a loan from Non-Structured to Structured, the system will double check that you really want to do this. Version 6.08K 7 June 1999 Payouts ------- * Fixed bug when paying out accounts with monthly-nominal interest calculations. If you paid out a monthly nominal account half-way through the last month of the loan, there was a possibility that the system would charge half a month's interest on the loan and cause the total interest charged on the loan to exceed the gross interest of the loan. This is not allowed on monhly-nominal loans. Version 6.08J 4 June 1999 Investment System ----------------- * Fixed bug which caused interest to compound monthly on accounts that shouldn't compound monthly when there was no maturity date entered. Loan Summary Report ------------------- * You can now sort and subtotal on "Loan Field 10" (FMVALR) usually known as "Branch" or "Valuer". Investment System ----------------- * You can print out the transactions in a batch via the F4 key during transaction entry. Version 6.08D 12 May 1999 Loan File Maintenance --------------------- * New option "R" in the prompt screen for Loan File Maintenance allows you to enter INTEREST RATE SCHEDULES. This allows you to pre-program in an interest rate rise for a future date. The Monthly Interest Run program will check this schedule and alter the rate on a loan if the scheduled rate change date passes. Investment System ----------------- * When you press SF6 to override GL Accounts in transaction entry, the system will show which entry is a debit, and which is a credit to the GL. Version 6.08C 7 May 1999 Loan File Maintnenance. ----------------------- * If you press F8 while in the diary reminder screen of Loan File Mainteance, the system will print out all data on file for the account. This report has been modified to print out the details from the Shift-F5 / Financial details screen. Version 6.08B 6 May 1999 Investment System ----------------- * Debits to accounts are now allowed to be entered after an interest run dated the same date as the interest run. Previously the debit had to be on the following day. Version 6.08A 3 May 1999 Investment System ----------------- * Interest Payments Report will optionally show accounts which are about to be CREDITED with accrued interest as well as those accounts for which an interest cheque should be drawn. * Transaction Entry Program now processes the PgUp/PgDn/F8 & SF8 keys properly. Version 6.08 29 April 1999 Investment System ----------------- * Accounts which are about to mature, and pay interest will show on the interest payments report. Version 6.07Z 28 April 1999 Arrears processing ------------------ * Fixed bug which prevented arrears adjustments from affecting the arrears balance on Interest Only Loans. Version 6.07Y 27 April 1999 Investment System ----------------- * Change Investment Summary Report, Calculate Interest Report and interest payment reports to allow sorting by Account Number, Account Name, Branch, Term or Business Code. * Change above reports to allow subtotalling by term. Version 6.07X 26 April 1999 Depreciation Schedule --------------------- * Total profit and Total loss are shown as two separate entries on the report. Investment System ----------------- * Show the term of the investment on the Investment Summary Report, Interest Payment Report and Calculate Interest Report. Commitment Summary ------------------ * Allow sort and select by "Valuer/Branch" (Loan Field #10 - FMVALR). Version 6.07W 22 April 1999 Investment System ----------------- * Individual Investments can have their own interest rate. Prior to this modification you had to set up an individual business code for each set of rates you wanted to use. Now you can override the standard rate of an investment. Version 6.07V 16 April 1999 Depreciation Schedule --------------------- * Fixed bug which included assets on report which were added after the "As At" date of the report. Version 6.07U 13 April 1999 Depreciation Schedule --------------------- * This report is over 200 characters wide and does not fit on pages printed by some laser printers. The layout of the report has been changed to make it narrower. Transaction Processing ---------------------- * Modified NZ EDI format to comply with WBC specifications. Version 6.07T 12 April 1999 FNPF Number ----------- * The length of the FNPF number has been increased from 5 to 12 characters. The FNPF report and Customer Statements now allow for this increase. Version 6.07S 7 April 1999 Asset Depreciation ------------------ * You can add additional assets to a loan via the Alt-F5 key in Loan File Maintenance. There was a bug which mean that if you added the assets to a new loan which wasn't tax based, the system would not activate the additional assets so they would always appear as "NEW" and not appear on the depreciation summary. This bug has been fixed. * Changed depreciation summary to list assets even if they show as "NEW" instead of "ACTIVE". Version 6.07R 6 April 1999 Investment Management --------------------- * Changed Interest Payments Report to correctly show interest payments due. It now uses exactly the same logic as the "Calculate Interest" option, so the initial prompt screen and report layout are slightly different. Version 6.07Q 1 April 1999 Investment Management --------------------- * Fixed bug where interest would not accrue or pay on accounts where you specified a first interest payment due date, you answered "N"to "Calc interest on last day of month", and the interest was supposed to accrue monthly. Version 6.07P 31 March 1999 Transaction Processing ---------------------- * The autobackup facility can now be disabled by answering "N" to the auto- backup question in system constants B. Prior to this, autobackup was always active. * The NZD EDI format is now complete Version 6.07O 29 March 1999 Form letters ------------ * You can now create a new keyword &YEAR-INT& which should contain the description YRINT874(I_ASAT). This keyword, when displayed on a form letter will show all interest chargeable in the financial year of the "AS AT" date of the form letter for the account in question. Since this amount may be calculated in advance, it will only work for monthly- nominal interest methods. * You can now create a new keyword &SALUTATION& which should contain the description SALUT874(FMMAST->FMTRNM) or SALUT874(FMMAST->FMCTCT). This keyword takes customers names of the form Mr [Firstname] [Lastname] or Ms [Firstname] [Secondname] [Lastname] and converts them to Mr [Lastname] or Ms [Lastname]. If you store a number of names in the "Trading name" field of the loan, and separate them with semi colons, the salutation will handle these correctly. For example, Mr [Firstname] [Lastname] ; Ms [Firstname2] [Lastname2] will appear on a form letter as Mr [Lastname] and Ms [Lastname2]. Y2K Compliance -------------- * Some operators still mistakenly enter 2 digit years into the 4 digit year input fields in IBS. The system will now convert a 2 digit year entered into a 4 digit year. Thus, if you enter "99" the display will automatically adjust it to "1999". If you enter "00" the display will automatically adjust it to "2000". As a rule, two digit years larger than "20" will be converted to 20th century dates, while those less than "20" will be converted to 21st century dates. Previously, all 2 digit years were converted to 20th century years. IMPORTANT. We recommend that operators enter the full 4 digit year and not to rely on the on-screen automatic conversion of 2 digit years into 4 digit years. Version 6.07N 26 March 1999 System functions ---------------- * Changed system to be able to handle running on a the latest version of Novell Netware client attached to a Novell Netware server. Prior to this, an anomaly in the Netware client caused IBS to not be able to log into a company, but only into the test company. Arrears Calculations -------------------- * Fixed bug with calculation of arrears on Interest-Only accounts paid in arrears. These accounts would show unusually high arrears values. Direct Debits ------------- * NZ direct debit EDI file complies with Westpac's requirements Invoicing --------- * Fixed format of printed invoices to show postcode properly. Version 6.07M 24 MArch 1999 Financial Statements -------------------- * Fixed bug which sometimes caused system to go into an infinite loop when you printed a Financial Statement and answered "P" to the prompt "All transactions or just Payments". Version 6.07K 23 March 1999 Loan File Maintenance --------------------- * The system will prompt you before changing an active non-structured loan to structured via the SF9 button. It will also ask for a password if passwords have been activated. * Pressing F9 after pressing SF9 sometimes caused the subledger details to temporarily disappear. This bug has been fixed. Direct Debits ------------- * The NZD direct debit EDI file format has been altered to more accurately comply with NZ banking specifications. Version 6.07J 22 March 1999 Loan File Maintenance / Loan Quote Maintenance ---------------------------------------------- * Fixed a bug in the repayment calculation routine which returned incorrect repayment amounts for loans with payments in arrears that have a residual including arrears repayment leases and interest-only loans. Version 6.07I 19 March 1999 Loan Quotaions -------------- * You can now entered interest-free structured deals Version 6.07H 17 March 1999 Direct Debits ------------- * A new format "NZD" is available for debiting repayments from non-Australian bank accounts and crediting the proceeds into an Australian account. * The direct debit output will now be sorted according to the sequence you specify. Previously it was just producing the output in account number sequence. Version 6.07G 11 March 1999 Investments System ------------------ * Fixed bug which prevented you entering a "Date first interest payment due" which was on the last day of the period when you set up an investment. * Added Shift-F6=Override key to Transaction Entry, which allows you to override the General Ledger Accounts that get posted to when processing transactions. * Added a "Branch" code to the mast file which allows you to allocate investments to Branches and select for a branch in most reports. * You can now set the interest frequency on an Investment Business Code to "999" which implies that interest will not be compounded on an account or paid until maturity. Version 6.07F 4 March 1999 Investments System ------------------ * Increased Customer Name to 60 characters * Increased size on Address and phone number fields * Added two extra phone number fields * Fixed screen formatting bug in Investment Maintenance * Added "Account Description" field * Added sliding-scale interest rates to business codes so that you can automatically charge different rates of interest on an account depending on its balance. Version 6.07E 4 March 1999 Transation Posting / Regen FM Balances -------------------------------------- * Fixed "Argument Error" bug that occurs occasionally. Version 6.07D 2 March 1999 Customer Statements ------------------- * Fixed formatting problem: When you used "G" (Gross) format, the contents of the DESCRIPT. field were printed out twice. Diary Reminders --------------- * Modified low level routines to prevent "General Protection Fault" error. Investment System Statements ---------------------------- * Modified bug which caused "Argument error: ALLTRIM" error to occur when you tried to print a statement. Version 6.07C 26 February 1999 Financial Statetements ---------------------- * Fixed bug where printing Payments Only ("P") would show incorrect payment number if a payment reversal was encountered. Arrears Summary Report ---------------------- * Report will now include accounts with negative arrears if you answer "N" the the question to only include accoutns in arrears. It will also write the negative arrears balance to the export file FM888SF.DBF Version 6.07B 25 February 1999 Direct Debits ------------- * IBS used to put an "End-of-file" marker at the end of the data that gets imprted by Deskbank to generate PD/C's. This is not strictly part of the ABA specification, and has been removed. Westpacs WINBANK program wouldn't work properly without this modification. Version 6.07A 25 February 1999 Financial Statements -------------------- * Fixed formatting error which caused From: and To: dates on the statement header to get overlapped with the business code description. Reduction Summary Report ------------------------ * Fixed bug which showed incorrect opening balances for accounts starting after the opening date for the report. Form Letters ------------ * Fixed bug which caused system to only print form letters for one account when you specified a range of accounts and the form letter included the ARREARS keyword. * The system still produces form letters more slowly when you have interactive keywords in the letter such as GETDATE, GETTEXT and GETNUMBER. but we have modified the system to produce form letters much more quickly when you don't use these keywords (in the majority of cases) Version 6.07 22 February 1999 Reduction Summary Report ------------------------ * Fixed bug which showed incorrect closing balances for accounts selected on the report. Version 6.06Z 17 February 1999 Form Letters ------------ * Fixed minor inaccuracy in the TOTAL-INT and PAYOUT keywords based on an inaccuracy in the interest calculation. Loan File Maintenance --------------------- * You can now change the structure of an active structured loan provided the "As At" date of the change is before the due to complete date. You can also change the term, residual and interest rate. You do this by pressing the Shift-F9 key. A non-structured active loan may be converted to a structured loan in this way also. Version 6.06Y 17 February 1999 Periodic Payments / Direct Debits --------------------------------- * Currently you can get the system to automatically create a periodic payment for an account, and place the data in a PD/C file which can be sent to your bank for actioning. You can also get the system to create a payment on an account equal to the amount of interest charged on the account plus any monthly account keeping fees (Instead of the standard repayment amount). We fixed a bug which was causing the system to ignore accounts with zero repayment amounts even though you requested it to create repayments equal in value to the interest charges. Database Dictionary ------------------- * Sometimes when you install a new version of IBS you get a "1010 error". This bug has been fixed. Version 6.06X 11 February 1999 Arrears summary report ----------------------- * The report creates an output file that you can read from your own programs. The output file (FM888SF) contains a new field (SFNETB) which contains the net balance of the loan as at the date you specify. This is different to the existing field SFBALY which only contains a balance if the account is in arrears. Version 6.06W 10 February 1999 FM Transaction Entry -------------------- * Fixed the following bug: If you have multiple batches per workstation and you press F10, and you have security set up so the user is not allowed to post transactions, the system doesn't suspend the batch in the suspended batch file so other users may load it later. The batch is only available on the machine which suspended it. GL Report Writer ---------------- * If you print GL reports in PORTRAIT mode, the report heading will now print further to the left so the report can show more characters in the page headings without truncating characters on the right hand side of the page. Version 6.06U 9 February 1999 Transaction Processing ---------------------- * A 'Backup Management" facility is available if you use Multiple Batches per Workstation (See system constants B). When the batch selection screen is displayed, you can press F9 to manage backed up batches. This gives you the ability to load a batch from the backup or to purge old batches from the backup. NOTE This option can be optionally password protected. NOTE the system automatically takes a backup of each batch that is posted. Version 6.06T 3 February 1999 Security -------- * FM Transaction Entry now has the facility to prevent some users from posting batches. If you set up a security level to have FM Transaction Entry enabled, but put an 'E' in the secondary security option, the system will allow the user to enter FM transactions, but they will not be able to post them - they will have to suspend the batch. Version 6.06S 2 February 1999 Subledgers ---------- * Fixed bug which caused non-consolidating subledgers charged to accounts as monthly fees (during the interest run) to not update the General Ledger Version 6.06R 1 February 1999 Payout Quotes ------------- * Fixed bug where the interest quoted on a payout did not agreee with the interest charged when the payout transaction was processed. Customer Statements ------------------- * For "G" format statements where you have the "Statement Format" constant in system constants set to "S", the contents of the "Descrip." field will be shown in the statement header. Transaction Processing ---------------------- * The system automatically backs up all transactions (to the FMBACKUP.DBF file) before posting them. This feature may be disabled via the "System Constants - B" option on the housekeeping menu. System Constants B ------------------ * Fixed "Undefined Identifier 'C_LIRD'" bug. Version 6.06Q 29 January 1999 Subledgers ---------- * When you do a payout quote, the system won't ask you if you want to cancel rebatable subledgers (if the loan has any). To cancel rebatable subledgers go to Loan File Maintenance (Change Mode) and press F9. * Made provision for a new keyword "SL-CANCEL" which calculates the total debits and credits generated as a result of cancelling a rebatable subledger. To add this keyword, go into "Keyword Maintenance" in the correspondence menu, enter "SL-CANCEL" as the keyword, and option "A", press F10 and enter the following text in the "Description" field: REBATE874(FMMAST->FMACNO). Version 6.06P 28 January 1999 Subledgers ---------- * Fixed bug that caused "Undefined Identifier" message when you tried to change the details of a subledger record (such as MPI) and then answered "Y" to the question "Do you want to update subledger details for all accounts". Version 6.06O 27 January 1999 PD/C & Direct Debits -------------------- * When you create direct debits, IBS Finance creates a data file which can be sent to your bank to transfer funds. There is now a new format which allows interchange of data for Toyota Finance dealers. Enter file format of TFA in the PD/C screen if you want to send data to TFA. If you don't please leave the file format at the default of "ABA". ODI Calculations ---------------- * You can now specify an "Arrears Threshold" in "Maintain System Constants B". If any accounts have arrears less than this value, they won't be charged arrears. * If you press Shift-F10 from Change Mode in "Loan File Maintenance" you will be able to disable ODI charging for individual accounts if desired. Version 6.06N 19 January 1999 Arrears Calculations -------------------- * On a variable rate loan if you try to display the arrears balance after the first interest run, but before the first payment is due, the arrears balance incorrectly shows the same as total interest charges to date. FIXED. Version 6.06M 12 January 1999 Customer Statements ------------------- * Loans with a deposit were showing the deposit as a transaction on the customer statement even if the date range was after the start date of loan. It should have consolidated the deposit into the opening balance of the statement. Customer Statements, Loan Summary Report, Loan File Maintenance --------------------------------------------------------------- * Loans with "P" type subledgers were showing an incorrect net balance which did not agree with the Financial Statement or the "Outstanding" balance in Loan File Maintenance. Version 6.06L 8 January 1999 Housekeeping / Security ----------------------- * When you set up a security level for a user, in addition to A=All, C=Change, E=Enquire, N=Change (but not name), you can now enter D=Diary reminders. This allows a user to change diary reminders, but not change anything else on the loan. The user can't enter C for change on the prompt screen, they have to enter E for enquire, but when they go into the diary reminders they will be allowed to change them. Version 6.06K 7 January 1999 Customer Statements ------------------- * The prompt screen is now 3 PAGES long. You can press the PgUp/PgDn key 3 times to view all the different options. * If you answer "Y" to the prompt "Exclude negative arrears from showing" any negative arrears for an account will not show in the "Arrears" section on the statement. Loan File Maintenance --------------------- * Fixed bug which did not show details of subledger additions to the repayment amount when you press the ALT-F4 key. Version 6.06J 4 January 1999 Interest Run ------------ * Fixed "Undefined Identifier I_SUIBL" bug that occurred during interest run. Version 6.06I 29 December 1998 Subledgers ---------- * Fixed bug which caused double ups of CCI transactions generated as a result of using consolidated subledgers. Version 6.06H 16 December 1998 Transaction Entry ----------------- * AF7 key allows searches by Engine Number (Loan Field 2) in the same way you can use AF7 in loan file maintenance Version 6.06G 10 December 1998 Subledgers ---------- * You can specify in subledger file maintenance whether or not to consolidate postings to a subledger. If you set this value to "Y", all postings to the subledger which have the same description will be totalled for posting * You can specify rebating methods in subledger file maintenance. The valid values are "R" for rule of 78, or "O" for Pro-Rata. Any time an account is paid out and this value is set, a rebate will be credited to the account based on this method. * You can cancel a subledger after a loan has started provided the rebate method in the suibledger is set to "R", "P" or "O". The loan remains active, but the value of the subledger is credited to the account. You should go into loan file maintenance and press F9 while in change mode to cancel any rebateable subledgers. The system gives you the choice of which subledgers to cancel * The length of the description field in subledgers has been increased to 40 characters. * When you enter subledgers in loan file maintenance, the system will display all the default values for the subledger as you key it in. Previously you had to press F6 then F5 to load in the subledger defaults. Note this won't happen if the "Over-ride" field is set to "Y". * NOTE. CCI - Consumer Credit Insurance. Most of these changes have been made to allow the full implementation of CCI. CCI consists of an insurance component and a stamp duty component which must be rebated if the loan pays out early. Also, a CCI insurer may reject a CCI application after a loan has been activated. In this case you will want to cancel the CCI but keep the loan active. Version 6.06F 2 December 1998 Loan File Maintenance --------------------- * In some situations, diary reminders temporarily disappear. The program now checks to see that the diary reminder file is open correctly before loading information onto the screen. Version 6.06E 1 December 1998 Direct Debits & PD/C's ---------------------- * Fixed problem where program wasn't selecting some accounts for payment of direct debits. Version 6.06C 26 November 1998 General ------- * Postcodes increased to allow up to 10 characters. * You can define your own currency symbol in "maintain system constants B" * You can define your own edit format for postal codes in "maintain system constants B" Version 6.06B 25 November 1998 Customer Statements ------------------- * New option "Show extra finance info in header" allows you to control whether or not the page, interest rate, arrears & date will show on the right hand side of the statement in the header. * Improved word-wrapping. If a transaction narrative splits over more than one line, the system will try to split the line at a space character rather than splitting words in half. Words longer than eight characters won't be split Loan File Maintenance --------------------- * Removed bug which caused diary reminders to not appear under some circumstances. Version 6.06A 24 November 1998 Loan File Maintenance --------------------- * The diary reminder system will prompt you before deleting any diary reminders. This is to stop unwanted diary reminders from being deleted. Version 6.06 23 November 1998 Transaction Entry ----------------- * Fixed bug which caused special charges to be deducted from a repayment if you press F5/F6 and re-edit a repayment for an account with outstanding special charges. Arrears Summary Report ---------------------- * If you answer "N" to "Show arrears amounts on report", the total net balance for all accounts that are x days in arrears is expressed as a percentage of the total net receivables for that business code. * If you answer "Y" to "Show arrears amounts on report", the total arrears balance for all accounts that are x days in arrears is expressed as a percentage of the total net receivables for that business code. Version 6.05Z 20 November 1998 Arrears Summary Report ---------------------- * Now has an option to express delinquency as a total of net receivables per business code. Be careful. If you say you only want to select accounts in arrears, delinquency is expressed as a percentage of net receivables of delinquent accounts. If you select all accounts, delinquency is expressed as a percentage of total net receivables. Diary Reminders --------------- * Changed diary reminder subsystem to minimize the possibility of losing diary reminders. Version 6.05Y 19 November 1998 Transaction Entry ----------------- * Payouts and Reversals were affecting the wrong GL Accounts. * If you set the system to automatically deduct ODI from repayments, it sometimes did not deduct the ODI Version 6.05X 19 November 1998 General ------- Some reports (such as receipt allocationr report, diary reminders) were crashing with a BASE/5300 MEMORY LOW message. This has been fixed. Customer Statements ------------------- * Negative arrears is confusing customers. It now shows on statements as "Advance" with the negative arrears amount rather than "Arrears" * Accounts with a subledger that was a monthly charge of type "$" were showing an incorrect opening balance on statements Loan File Maintenance --------------------- * In-full subledgers of type "P" kept increasing in value each time you tried to edit them in the subledger (F9) screen. * The rounding value on a subledger was always rounding UP to the next rounding point rather than rounding to the nearest rounding point. For example $2.33 rounded to the nearest $1.00 was rounding up to $3.00 rather than down to $2.00 Form Letters ------------ * Form letters now have special keywords to prompt for values which maybe inserted into the form letter at the time of printing. You need to add these keywords to your keyword file: Keyword Description ------- ----------- GETTEXT GetText874("Enter your prompt here:") GETNUMBER GetNumber874("Enter your prompt here:") GETDATE GetDate874("Enter your prompt here:")
